  • Executive Assistant I, Information Technology

    The Executive Assistant I reports to the Vice President/Chief Information Officer.  This position is responsible for critical administrative support for the VP/CIO and all other members of the Information Technology Department made up of four teams.  The Executive Assistant I will facilitate and support many of the critical day-to-day and long-range activities of the IT department. This position requires handling of confidential and sensitive records and issues, as well as tracking and monitoring of complex, high-dollar procurements supporting CAPEX and OPEX budgets.

    Education and Experience: 
    •Bachelor’s degree in Business Administration, Administrative Services, or related field. Additional experience may be substituted on a year for year basis up to four (4) years.
    •Five (5) years of administrative management experience including knowledge of IT environment, office administration and financial management and procurement processing.
    •Experience using Microsoft Office 365 including email, calendaring, spreadsheets, word-processing, and financial applications software.
    •An equivalent combination of related education and experience may be substituted for the above stated minimum requirements.

    Knowledge, Skills and Abilities: 
    •Advanced technical skills - using Microsoft Office 365, SharePoint, Dynamics AX ERP, and Internet
    •Ability to maintain a large workload, in a fast-paced environment and work on multiple tasks.
    •Strong customer service skills
    •Strong ability to establish and maintain effective working relationships using tact and diplomacy; communicate clearly and concisely in writing and orally with employees, management, service providers, contractors, and the general public.
    •Ability to exercise good judgment/decision making; ability to anticipate problems and formulate resolutions.
    •Solid organizational skills; dependable and detail oriented.
    •Ability to work independently.
    •Experience tracking department expenses, preparing purchase requisitions, budget, and status reports, managing contracts and projects, maintaining a complex filing system following established records management procedures.
    •Ability to prioritize and multi-task   excellent time management.
    •Ability to take initiative - assertive and confident.
    •Ability to interact with all levels inside and outside the organization.
    •Ability to compile and compare data and make estimations.
    •Ability to maintain fiduciary obligation when handling materials and information of a confidential nature.
