Position Summary: As a Client Services Administrator (CSA) at Dress for Success Austin, you will play a pivotal role in the smooth operation of our day-to-day services, directly impacting the lives of the women we serve. This position requires a compassionate, organized, and dynamic individual who is passionate about making a difference in their community. You will be the primary point of contact for our clients, providing administrative support, coordinating client services, and ensuring our clients receive the support and resources they need to succeed in their careers. The CSA will report to the program manager. Key Responsibilities: Maintain a positive and organized office environment, which includes managing front desk operations, assisting volunteers, ordering supplies as needed and ensuring office equipment is maintained. Act as the first point of contact for client inquiries via phone, email, and in person. Educate clients by providing them with detailed information about our services and resources through all client communication channels including the bi-monthly client newsletter. Manage client databases and files with attention to confidentiality and accuracy. Coordinate with other departments to resolve client issues efficiently. Prepare and distribute regular reports on client activity and service issues. Assist in developing client service procedures, policies, and standards. Schedule and follow up on client meetings and appointments. Resolve client issues and provide appropriate solutions and alternatives within the time limits; follow up to ensure resolution. Participate in team meetings, contributing ideas for improving internal processes and increasing the impact of our work. Manage in-person client services one Saturday per month, as well as leading the professional women’s group one evening per month. Qualifications: Experience in administrative roles, customer service, or nonprofit organizations is highly valued. Strong organizational and planning skills, with the ability to multitask and manage time efficiently. Ability to remain flexible and calm when client assistance becomes the first priority. Excellent written and verbal communication skills. High proficiency in Google Workspace, as well as familiarity with VOIP phone systems, office equipment, and database management. Excellent interpersonal skills, and the ability to communicate with empathy to the women we serve. Ability to work independently and as part of a team, showing initiative and a proactive approach to tasks. A genuine passion for the mission of Dress for Success and commitment to empowering women.
